This two-year, full-time position is a unique opportunity for a detail-oriented, organized individual to gain hands-on experience inside a dynamic, evidence-based psychology practice. The Administrative Coordinator is the central point of connection for clients, clinicians, and trainees — helping keep the practice running smoothly while contributing to the delivery of high-quality clinical care.
The position will begin in July 2026, in order to include a brief overlap and training period with the current Administrative Coordinator to ensure a smooth transition and comprehensive onboarding experience.

The Administrative Coordinator serves as a central operational partner within the practice, ensuring that clinical, administrative, and programmatic systems run smoothly and efficiently.
Primary responsibilities include managing prospective client inquiries with professionalism and warmth; scheduling and coordinating Discovery Calls in collaboration with the Director of Clinical Services; overseeing billing operations, documentation workflows, and financial record-keeping; and maintaining clinician schedules with accuracy and foresight.
The role also supports marketing and outreach initiatives, assists with logistical planning for treatment programs and intensives, and ensures seamless coordination of program materials and communications.
Additional responsibilities include preparing meeting agendas, maintaining and updating the practice’s Policies and Procedures Manual, compiling data reports, and managing patient records within the electronic medical record system in accordance with confidentiality and compliance standards.
The Administrative Coordinator plays an important role in supporting team development — assisting with onboarding new staff and trainees, helping supervise undergraduate interns, and contributing to the preparation and organization of treatment spaces and materials to maintain a high standard of care and professionalism.

Candidates should hold a bachelor’s degree (psychology or social sciences preferred) and demonstrate strong written and verbal communication skills, exceptional organizational ability, and comfort multitasking in a fast-paced clinical setting. Familiarity with Google Workspace, Canva, and electronic health record systems is helpful.

This is a full-time (40-hour-per-week) position, including two evenings per week (until 6:30 PM) as part of the standard schedule.
The salary range for this role is $45,000–$50,000 annually, commensurate with experience.
The position includes three weeks of paid vacation per year, paid holidays (Thanksgiving Day, Christmas Day, New Year’s Day, Memorial Day, Independence Day, and Labor Day), and accrual of paid safe and sick leave in accordance with New York City policy.
